Payroll Specialist/Human Resources Associate

The Payroll Specialist/HR Associate will be an integral part of a growing Human Resources team. Overall responsibilities include: payroll processing, benefits administration, HR compliance and special projects.  

You Will: 

  • Process bi-weekly and semi-monthly payroll for all locations  Enter and verify all payroll entries including deductions, earnings and changes, garnishments, review and reconcile payroll data and resolve any discrepancies as necessary
  • Ensure the processing of new hires, transfers, promotions and termination is accurate and timely on all HR systems
  • Register with new state agencies and local city agencies when new location opens as part of new payroll set up
  • Organize and verify all data for final payroll runs prior to processing of year end W-2s, and process W-2 corrections as appropriate  
  • Serve as the primary contact for all employee inquiries related to time clock issues, time off accruals and policies, and discrepancies in pay  
  • Maintain a variety of payroll files and records such as: W-4, I-9, enrollment forms for insurances, retirement plan, transit benefits and for other payroll deductions  
  • Calculate payroll true-up reports for applicable worker’s comp insurances according to plan year schedule.  
  • Critically review and analyze current payroll, benefits and tax procedures in order to recommend and implement changes leading to best-practice operations  
  • Maintain well-organized payroll records, files and any payroll related documents  
  • Assist employees with payroll and benefits related questions and issues  
  • Maintain the integrity of HR records; specifically, all employee changes related to set up of benefit and retirement plans, enrollments, all deductions, loans, life and COBRA events, pay changes, time off, and terminations  
  • Prepare employee separation documentation and when applicable calculate unused vacation pay, terminate benefit vendors and initiate COBRA event  
  • Respond to and follow up on all employment verifications and unemployment claims  
  • Manage ACA and 5500 reporting process with payroll vendor  
  • Manage and process COBRA events and file Worker’s compensation, STD and LTD   
  • Serve as the primary contact third party administrators for 401K plan to troubleshoot plan issues, employee inquiries, and general communications  
  • Produce reports for all aspects of staffing for general inquiries and audits as needed; these may include funders, state regulatory agencies, finance or other units  
  • Assist with open enrollment process for all benefits  
  • Assist with future implementations (more sophisticated payroll and benefits systems)  

Your Qualifications: 

  • Bachelor’s degree or equivalent experience is required  
  • 5 years relevant human resources experience, with  3+ years of payroll  
  • Some experience in accounts payable, accounts receivable and/or accounting analysis preferred  
  • Knowledge  of Federal & State Payroll Tax withholdings, benefit deductions, and garnishments  
  • Proficiency in Microsoft office applications; particularly Excel  
  • Helpful to have prior experience in Paychex, ADP or similar payroll platform  
  • Able to maintain absolute objectivity and confidentiality with all employees and all payroll related data  
  • Detailed oriented, organized and able to multi-task  
  • Strong organizational and communication skills  
  • Able to work in a fast-paced, deadline driven environment  
  • Bilingual Spanish preferred but not required  

Location/Travel: 

  • This position is based in the New York office with no travel required.
